📜 HOSTEL TERMS AND CONDITIONS – HTC Tower
Before securing your stay at HTC Tower, please review the following terms and conditions. These guidelines are designed to ensure a safe, respectful, and seamless experience for all residents.
1. GENERAL TERMS
1.1 Agreement Duration
- The agreement automatically expires at the end of the semester (Not exceeding 4 months) or academic year unless renewed.
1.2 Eligibility Requirements
- Valid student ID and/or enrollment verification required.
- Must provide emergency contact information.
- International students must provide valid visa and passport documentation. Immigration requirements must be maintained by international students.
1.3 Room Assignment
- Room assignments are made by hostel management and may not be transferable.
- Room changes are subject to availability and management approval.
- Gender-specific accommodation assignments will be strictly maintained.
- Room keys/cards must be left with the Porter before exiting the premises.
2. FINANCIAL TERMS
2.1 Rental Fees
- Academic Year Fee:
- Payment Methods: Bank deposits.
2.2 Security Deposit
- Security Deposit: GHS 1,000 due before move-in.
- Deposit covers cost of potential damages and/or replacement cost.
- Full refund within 14 days of checkout if no damages or outstanding fees.
3. MANAGEMENT RIGHTS AND RESPONSIBILITIES
- Management may enter rooms for maintenance, inspection or urgent safety concerns.
- Student privacy respected within legal and safety constraints.
- Weekly inspection to be conducted.
4. SPECIAL PROVISION
- Summer accommodation available at a different charge.
- Students are required to participate in hostel meetings.
- Students are required to report maintenance issues to the facility supervisor immediately.
- Students cannot undertake repairs or modifications without written permission.
- Cost of repairs due to negligence or misuse will be charged to the student.
- Force majeure events (natural disasters, pandemics) may affect services provided.
- Emergency evacuation procedures must be followed in the event of any force majeur.
- Religious or cultural practices are not accommodated within facility.
- Students must strictly adhere to kitchen policies, rules and regulations.
FACILITY RULES AND REGULATIONS
1.1 Occupancy Rules
- No Subletting: Students cannot sublet or assign their room to others.
- Guest Policy: Visitors allowed from 8:00 GMT to 22:00 GMT by reporting at the Front Desk.
- Room Capacity: Strictly limited to registered occupants.
1.2 Conduct and Behavior
- Respect for Others: Harassment, insubordination, discrimination, or aggressive behavior strictly not tolerated.
1.3 Safety and Security
- Students must comply with all fire safety regulations.
- Report suspicious activities or security concerns to the Facility Officers immediately.
- Room keys/cards must not be duplicated or shared. Students are responsible for securing personal belongings.
- Tampering with safety equipment (fire alarms, extinguishers etc.) is prohibited.
1.4 Property Care
- Students are responsible for maintaining cleanliness of their rooms.
- Properly dispose of garbage in the designated area.
- Damage to hostel property will be charged to the responsible party. No alterations, painting, or drilling holes without written permission. Furniture may not be moved from common areas to rooms or vice versa.
- Report any damages immediately to the Facility Officers to avoid disputes.
2. PROHIBITED ACTIVITIES
2.1 Strictly Forbidden
- Illegal activities, illegal drugs, weapons, or dangerous substances.
- Abuse of alcohol or strong wine that causes harm, havoc, or discomfort to other residents.
- Loud music, parties or gatherings that disturb other residents unless approved by management.
- Pets or animals.
- Gambling, fighting, or any criminal activity.
- Unauthorized electrical appliances or modifications.
- Propping open security doors or disabling safety systems.
- Decorations: No permanent fixtures; removable decorations only.
2.2 Privacy and Monitoring
- There are CCTV monitoring systems in common areas and kitchen for security purposes.
- Room privacy will be respected except for safety/security concerns.
3. TERMINATION CONDITIONS
3.1 Grounds for Immediate Termination
- Violation of facility agreement or any facility rules and regulations.
- Behavior that threatens safety or wellbeing of others.
3.2 Termination Process and Provision
- Written notice will be provided except in emergency situations.
- Students have 24 hours to vacate after termination notice.
- Hostel fees paid will be completely forfeited. Security deposit paid will be retained to cover damages or replacement costs. If damages exceed the security deposit amount, the student will be invoiced for the balance and given a payment deadline.
3.3 Early Departure
- No refund of facility fees for early departure except for the security deposit if no damages occur.
- Room must be cleaned and inspected before departure.
3.4 Insurance and Liability
- Hostel insurance covers public liability but not personal belongings.
- Students are liable for damages caused by negligence or misconduct.
ACKNOWLEDGMENT AND AGREEMENT
By accepting below, the student acknowledges:
- Reading and understanding all terms and conditions.
- Agreement to comply with all rules and regulations.
- Understanding of financial obligations and payment terms.
- Acceptance of consequences for violating any of the rules or regulations.
